# ISO 9001 for service companies | docxpert

## Translating the standard to services

ISO 9001 talks about “products and services”. For service providers the output is a service: a report, a design, a project, a support case. The requirements can be applied to it. The table shows typical translations:

Examples for orientation; the text of the standard prevails.
| Clause | In a factory | In a service company |
| --- | --- | --- |
| 8.2 Requirements | Order review, technical specification | Proposal review, scope of work, project order |
| 8.3 Design and development | Product development | Developing new consulting products, methods or service packages; often applicable, sometimes excluded with justification |
| 8.5.1 Controlled conditions | Work instructions at the machine | Project methodology, checklists, peer review of results |
| 8.5.3 Customer property | Customer-supplied parts | Customer data, documents, access to customer systems |
| 7.1.5 Measuring resources | Calipers and test benches | Often not relevant; possibly instruments or software in engineering firms |
| 8.7 Nonconforming outputs | Scrap, quarantine stock | Faulty reports, missed deadlines, wrong advice |

Not applicable means justified

Requirements that do not apply to you can be declared not applicable in the scope if the conformity of your services does not depend on them. Give a short, traceable justification.

## What matters for service providers

- **Competence and knowledge:** quality lives in people's heads. Competence requirements, onboarding and [organizational knowledge](https://docxpert.io/en/guides/iso-9001-2026/organizational-knowledge) are central topics.
- **Project control:** clear orders, milestones and reviews of results replace inspection plans from manufacturing.
- **Customer satisfaction:** feedback after projects, complaints and repeat business are the key indicators.
- **Freelancers and partners:** external experts count as external providers. Their selection and evaluation belong in the QMS.
- **Confidentiality:** customer data and documents are customer property and must be protected accordingly.

## Documenting lean

A service provider with 20 employees does not need an 80-page manual. A lean structure has proven itself:

1. 1

    A short manual

Scope, [quality policy](https://docxpert.io/en/glossary/quality-policy), process map and responsibilities on a few pages.

2. 2

    A project methodology

How orders are accepted, planned, delivered, reviewed and closed – with the checklists the team already uses.

3. 3

    A few procedures

For competence and training, complaints and improvement, external providers, internal audits and management review.

4. 4

    Records from the work

Project orders, acceptances, feedback, training records and audit reports are created anyway and only need to be filed in order.

Which documented information ISO 9001 actually requires is covered in the guide [ISO 9001 mandatory documents](https://docxpert.io/en/guides/iso-9001-mandatory-documents).

## A practical example

An engineering firm with 25 employees designs building services for industrial customers. A key account requires ISO 9001 certification from the next framework contract onwards. The firm has project folders, a proposal template and plenty of experience, but no described processes.

Instead of writing a manual, the team first describes its actual project flow from enquiry to acceptance and adds two checkpoints: a peer review of calculations before sending and a short feedback call after every project. It declares measuring resources under 7.1.5 not applicable because no measurements are part of the service. The remaining mandatory documents come from the starter pack and are adapted to this way of working. After four months of real records, the firm passes the certification audit with two opportunities for improvement.

## Common mistakes

- Adopting manufacturing templates that nobody in the office understands or uses.
- Exclusions without justification, or excluding requirements that are relevant, such as developing your own methods.
- Measuring customer satisfaction once a year by survey and letting complaints sit in the inbox.
- Not treating freelancers and partner firms as external providers.

## From zero to certification

1. 1

    Define the scope

Which services and sites should be certified, and which requirements do not apply?

2. 2

    Generate the starter pack

Have the mandatory documents drafted and align them with how you actually work.

3. 3

    Introduce and live it

Approve documents, brief the team, collect read confirmations and gather a few months of records.

4. 4

    Check internally

Run an internal audit and management review; the [certification readiness checklist](https://docxpert.io/en/checklists/iso-9001-certification-readiness) helps you prepare.

5. 5

    Get certified

Engage a certification body. New initial certifications will follow ISO 9001:2026; the guide [ISO 9001 certification](https://docxpert.io/en/guides/iso-9001-certification-process) explains the process.

## Frequently asked questions

Is ISO 9001 worth it for a small service company?

Often yes, if customers or tenders require the certificate or if processes become unclear as you grow. What matters is a lean system that fits how you actually work.

Do I have to implement clause 8.3 design and development?

Only if you develop your own services, such as new consulting products or methods. If not, you can declare 8.3 not applicable with a justification.

How do I measure quality in services?

With customer feedback after projects, complaints, on-time delivery, rework and the share of repeat business. What matters is deriving actions from the results.

How long does implementation take?

Small service providers often build the system in three to six months if it stays lean. Before the certification audit, a few months of records from real work should exist.
