# ISO 9001 quality policy: content and example | docxpert

## What it must contain

- a statement that fits purpose, context and strategic direction,
- a framework from which [quality objectives](https://docxpert.io/en/glossary/quality-objectives) can be derived,
- a commitment to meet applicable requirements,
- a commitment to continual improvement of the QMS.

With ISO 9001:2026 the policy gains weight: management promotes quality culture and ethical behaviour, and many companies record their expectations on this in the policy. See [ISO 9001:2026 quality culture](https://docxpert.io/en/guides/iso-9001-2026/quality-culture-and-ethics).

## A short example

Quality policy of an engineering firm (excerpt)

We deliver designs our customers can rely on: on time, checked and clearly documented. To achieve this we peer-review every result, keep our expertise current and learn openly from every mistake. We meet our customers' requirements and applicable regulations and continually improve our management system. Every employee may raise quality concerns; management takes them seriously.

The example is short, specific and verifiable. Objectives such as “all calculations reviewed before sending” follow directly from it.

## Common mistakes

- Interchangeable wording that would fit any company.
- A policy nobody knows except the quality manager.
- No link to quality objectives.
- A policy unchanged for years despite a new strategy or new markets.

## Communicating and understanding it

The standard requires the policy to be communicated, understood and applied within the organization. A notice on the wall rarely achieves that. It works better to explain the policy during onboarding, pick it up in team meetings and refer to it in decisions. In audits, auditors often ask staff what the policy means for their own work.

## Implementing it in docxpert

The “Management system policy” template from the [template library](https://docxpert.io/en/features/template-library) provides a structure you adapt to your company. After approval by management you distribute the policy with [read acknowledgement](https://docxpert.io/en/features/read-acknowledgement) and can show in an audit who confirmed it.

## Frequently asked questions

Does the quality policy have to be signed?

The standard does not require a signature. It must, however, be set by top management; a documented approval evidences that.

How long should a quality policy be?

Half a page to one page is usually enough. What matters is that staff understand it and recognise it in daily work.

Does the policy have to be public?

It must be available to relevant interested parties as appropriate. Many companies therefore publish it on their website.

Can one policy cover several standards?

Yes. In integrated management systems a single policy often covers quality, environment and safety, as long as all mandatory content is included.
