# QMS Templates for 20 Standards | Template Library

## Why generic templates are not enough

There are plenty of QMS templates – as Word packs, in handbooks or from consultants. Their common problem: they are written for everyone and therefore fit no one exactly. Placeholders such as “\[Company\]” or “\[Department\]” have to be replaced by hand, clause references are missing or outdated, and several standards lead to duplicate documents.

The template library in docxpert takes a different approach: every template is structured in sections assigned to individual standards. Choose ISO 9001 and ISO 14001, and the document contains exactly the sections both standards require – with your details instead of placeholders.

## How a document is created from a template

1. 1

    Find a template

Filter by active standards, document type or search term. Templates required by your standards are marked.

2. 2

    Preview it

The preview shows the structure, clause references, number of sections and the estimated effort.

3. 3

    Choose standards and details

You decide which of your standards the document should cover and add details such as company name, sites or responsibilities.

4. 4

    Manual or with AI

Adapted manually, the draft is created without credits. With AI, docxpert also writes out the sections tailored to your company.

5. 5

    Review and approve

The document lands as a draft in [document control](https://docxpert.io/en/features/document-management) and goes through your approval.

## Progress per standard at a glance

For every active standard, the library shows how many of the required documents already exist – for example “17 of 23 required documents created”. You see at a glance how far you are on the way to certification and which mandatory documents are still missing. Together with the [gap analysis](https://docxpert.io/en/features/gap-analysis), this gives a complete picture.

Fast start with the starter pack

If you start from scratch, the starter pack creates all mandatory documents of your standards at once as drafts – see [AI document drafting](https://docxpert.io/en/features/ai-document-generator).

## Integrated management systems without duplicate work

Many requirements are identical across ISO management system standards because they follow the harmonized structure: context, policy, objectives, competence, documented information, internal audit, management review, corrective action. The templates use this: one internal audit procedure can cover ISO 9001, ISO 14001, ISO 45001 and ISO 27001 together, with standard-specific additions as separate sections.

The result is fewer documents that are easier to maintain – and auditors who see at a glance how each standard is covered.

## Quality and currency

- **Professionally written:** every template contains real sample text, not just headings.
- **Clause reference per section:** you see which section addresses which requirement.
- **Mandatory items marked:** templates and sections explicitly required by a standard are flagged.
- **Maintained continuously:** when a template changes, the new version is provided in the library. Documents you already created stay unchanged until you create a new version yourself.
- **Bilingual:** every template is available in English and German.

## What it costs

The template library is part of docxpert. Adapting a template manually costs no credits. If you let AI write a document out, you see the credits needed before you start. Details are on the [pricing page](https://docxpert.io/en/pricing).

## Frequently asked questions

How long does it take to create a document from a template?

The template itself is adapted within minutes. The real effort lies in reviewing whether the content fits your processes – one to a few hours depending on the document.

How many QMS templates does docxpert include?

65 templates per language – 130 in total in English and German – for 20 standards and regulations.

Are the templates compliant with the standards?

The templates are built along the standards' requirements and reference the clauses. Your system becomes compliant once the content matches your processes and is lived – so review and adapt every document.

Can I add my own templates?

Yes. You set up your own document types with layout, numbering, header and footer in the settings; any approved document can serve as a starting point for new versions.

What happens when a template is updated?

The new version is available in the library. Documents you already created do not change automatically – you decide whether to create a new version.

Do I need separate documents for each standard?

No. With several standards you get integrated documents that cover shared requirements once and standard-specific requirements in their own sections.

Are there templates for NIS2 and the EU AI Act?

Yes, the library includes templates for NIS2, the Cyber Resilience Act and the EU AI Act, for example reporting processes and AI policies.

How can I adapt a template without losing its origin and approval trail?

Treat a template as a starting point, not as a finished procedure for your organisation. Review each section with process owners: do roles, terminology, interfaces, retention rules and actual steps fit the work? Remove irrelevant options and add local decisions rather than copying generic examples unchanged. Record which sections were adapted and who performed the technical review. Then approve the resulting document through your normal workflow and distribute only that current version. If the source template is later updated, compare the change with your own document and adopt it only after assessing its impact. Keeping the library source separate from the controlled company document prevents a sample from being mistaken for an approved work instruction.
